Regulations for Archives Readers

Revised April 2003

  • The Archives Office is normally open to readers, subject to appointment, for the inspection of documents on Mondays to Fridays (except on public holidays) from 10.00 a.m. to 5.00 p.m. (excluding lunch hour 1-2)
  • A person desiring to inspect documents shall write his full name and address in the register of readers, and complete request forms (when required) in the manner indicated in the reading area. Signing of the register of readers shall imply an agreement to observe these regulations, and their infringement shall render the reader liable to exclusion.
  • Readers may not smoke, eat or drink in the reading area.
  • Documents must not be removed from the reading area, but should be handed back to staff in charge before a reader leaves.
  • The conditions of access relating to documents are set out in appropriate parts of the reading area. Archives staff have the authority to enforce these restrictions.
  • The officer in charge of the reading area has the authority to decide:
  • The quantity of documents issued at any one time to a reader. Where a reader is allowed a number of documents at one time, he/she must take all possible means to ensure that the arrangement of these documents is retained, that they are in proper order, and that they are returned to their proper container.
  • Whether or not a document or group of documents is sufficiently robust to be handled. Where documents are too fragile for consultation, the officer in charge may withhold them.
  • Whether a microfilm or other copy should be used rather than the original.
  • Readers must use pencil. The use of pens and biros is forbidden. No mark shall be made on a document, and no person shall lean upon any document or place on it the paper upon which he is writing. Any defect in, or accident to, a document must be reported immediately to the officer in charge.
  • Tracings may only be made by permission of the officer in charge, who may specify the way in which they must be made.
  • Staff of the Archives Office may not give legal advice to readers.
  • Fees are payable for certain services. Details of these services and the conditions of payment are available on request.
  • Reproductions of photographs, photocopies supplied by the office may be made only with the permission of the Senior Archivist. Application for permission shall be made in writing, stating the object of the reproduction. The Archives Office reserves the right to impose a charge.
  • The Senior Archivist or the officer in charge of the reading area may exclude or cause to be removed from the Archives Office any person who contravenes these regulations, or whose exclusion from the office is otherwise necessary for its proper use and regulation.
  • Readers must not remove archive material from the reading area.
  • Readers should handle documents with care. They should not bend, tear or mark any documents.
